Accounts payable automation software reads a supplier invoice, pulls the supplier, date, total, and VAT, and queues it for approval before it reaches Xero, Sage, or Pastel. A person still clears the rows that fail the check. The software does not replace the approval. It removes the retype.
What is accounts payable automation software?
It is the step between the inbox and the ledger. An invoice arrives. Someone used to type the supplier, the number, the date, the total, and the VAT. The software reads those fields and waits.
Approval stays a human decision. The software only routes the bill to the person who may say yes, and it holds the bill when a rule fails.
How does a bill move from the inbox to the ledger?
- The invoice arrives by email or as a scan.
- The fields are pulled and shown next to the PDF.
- A mismatch, a missing number, or a total that does not match the lines waits in a queue.
- The approver accepts or rejects that bill.
- The accepted bill is written into Xero, Sage, or Pastel, whichever you already post to.
If step 5 is still a person retyping, you have a reader, not accounts payable automation.
How do VAT and approval fit?
VAT on the invoice is a field to capture and to check, not a tax opinion. The person who posts the bill confirms the VAT amount printed on the document before it hits the ledger.
Approval is the rule you already have. Under a limit, one person can accept it. Over the limit, or with no purchase order, it waits. The software should make that wait visible. It should not invent a new signing policy.
How do Xero, Sage, and Pastel change the job?
They change the destination, not the reading.
| System | What the workflow must do |
|---|---|
| Xero | Create the bill in the organisation you already use, after approval |
| Sage | Match the supplier and tax fields your Sage file expects |
| Pastel | Land the same fields in Pastel without a second typing pass |
A team on Pastel and a team on Xero can share the capture step. They cannot share the write-back. Build the write-back for the system that is open every day.
Reading the page is the same idea as what OCR software is. The invoice walkthrough sits beside how to automate invoice processing.
What does accounts payable automation look like in South Africa?
Supplier invoices here are often PDFs from a mix of small vendors. The layouts differ. The fields you need do not. Supplier, number, date, total, VAT.
Momentum is a forms example, not an accounts payable build. The pattern is the same: staff review exceptions instead of typing every field. We do not publish a rand price for this workflow. Invoice variety and the destination system change the scope. That is explained in what AI automation costs in South Africa.
